Terms & Conditions

These terms govern your use of all TableOne services — from accounts and subscriptions to payments, data, and legal responsibilities. Please read them carefully.

01Acceptance & Scope

These Terms & Conditions (the “Terms”) govern your access to and use of the F&B POS service — a cloud-based Point of Sale and business management platform for Food & Beverage businesses (the “Service”) provided by the operator of F&B POS (“we”, the “Provider”).

By registering for, accessing, or using the Service in any form — including web apps, device apps (POS, Kiosk, KDS/ODS), or a free trial — you confirm that you have read, understood, and agree to be bound by these Terms together with our Privacy Policy and Cookie Policy, which form an inseparable part of these Terms.

If you accept these Terms on behalf of a business entity or another party, you represent and warrant that you are authorized to bind that party. If you do not agree to these Terms, please do not use the Service.

02Definitions

  • Service — all F&B POS products, apps, sites, APIs, and features as described in the “Service Description” section.
  • Merchant / Customer — the business entity or individual that subscribes to and uses the Service to run its operations.
  • User — an individual you grant access to the Service (e.g. owner, manager, cashier, waiter, or other staff) under the Merchant Account.
  • End Customer — a Merchant's consumer who interacts with the Service, e.g. ordering via QR/Kiosk, making a reservation, or submitting a feedback form.
  • Account — the registered account used to access the Service, along with all businesses, brands, and outlets managed within it.
  • Your Content — all data and materials you or your Users enter into the Service, including menus, images, transaction data, inventory, employees, and customers.
  • Device — hardware (phone, tablet, computer, kiosk, screen) running the Service apps.
  • License/Seat — the paid usage right allocated per-device or per-user according to your subscription plan.

03Eligibility & Account Registration

  • You must be at least 18 years old or legally competent to enter into a binding agreement under applicable law.
  • You must provide true, accurate, and current information at registration (including email and/or WhatsApp number verification) and keep it updated when it changes.
  • The Service is intended for lawful F&B business use. You are responsible for the legality, licensing, and compliance of your business.
  • We may refuse, suspend, or close registrations that violate these Terms or applicable law.

04Service Description

F&B POS is an integrated ecosystem that may include, but is not limited to, the following modules depending on your plan and configuration:

  • F&B POS — a cashier app to record orders, accept payments, and manage shifts, which can run offline-first.
  • F&B ERP (Merchant Dashboard) — menu & recipe management, inventory & purchasing, HR & payroll, CRM & loyalty, accounting/bookkeeping, and multi-outlet reports.
  • F&B Order — End Customer self-ordering by scanning a QR at the table.
  • F&B KDS-ODS — a Kitchen Display System for the kitchen and an Order Display System for End Customer queue status.
  • F&B Kiosk — an in-store self-order machine.
  • F&B Booking — reservation & table management, comprising a public interface for End Customers and a staff/host dashboard.

The Service is accessible via Web and apps on Android, iOS, Windows, and macOS, depending on the module. We may add, change, or discontinue features from time to time as set out in the “Changes to the Service & Terms” section.

05Account, Security, Roles & Licenses

You are fully responsible for keeping your credentials confidential and for all activity that occurs under your Account. Notify us immediately of any suspected unauthorized access.

  • Roles & permissions. The Service provides layered roles (e.g. super admin, admin, manager, cashier, waiter). You are responsible for assigning appropriate access to each User.
  • Single active session. For security, one dashboard account may be limited to a single active login session; a new login may end the previous session.
  • Device licenses & backend access. Some features require paid per-device licenses (e.g. POS, KDS/ODS, Kiosk) and/or per-user backend access seats according to your plan. Usage beyond quota may be limited.
  • You must not share credentials with unauthorized parties or circumvent license/seat mechanisms.

06Usage License & Restrictions

While your subscription is active and you comply with these Terms, we grant you a limited, non-exclusive, non-transferable, and revocable license to access and use the Service for the internal operations of your F&B business.

You agree not to:

  • use the Service for unlawful, fraudulent, or harmful purposes;
  • resell, lease, or provide the Service to third parties without written permission;
  • copy, modify, reverse engineer, or create derivative works of the Service;
  • upload malware, perform unauthorized access, scraping, or overload/attack the infrastructure (e.g. DoS);
  • use the Service to process prohibited transactions or illegal goods/services;
  • remove or obscure our proprietary, trademark, or copyright notices.

07Subscriptions, Plans, Trials & Grace Period

  • Tiered plans. The Service is offered in several plans with different features and quotas, plus per-device/seat licenses as you need.
  • Free trial. We may provide a trial period (e.g. 30 days). At the end of the trial, you need to subscribe to continue using the Service.
  • Grace period & lockout. If a payment is overdue, the Service may enter a grace period (e.g. 7 days) before access is locked. We still retain your data for a reasonable period as set out in the termination section.
  • Renewal. Unless cancelled before the next period, subscriptions may renew periodically according to the chosen billing cycle.

08Pricing, Billing, Taxes & Late Payment

  • Subscription fees are billed in advance monthly or yearly according to the plan and number of licenses/seats you choose.
  • Unless stated otherwise or required by law, payments are non-refundable and there is no credit for a partially started period.
  • Prices exclude applicable taxes (e.g. VAT); such taxes are your responsibility under applicable tax rules.
  • We may change prices with reasonable notice; changes take effect in the next billing period.
  • Late payment may result in access suspension and/or late fees to the extent permitted by law.

09Third-Party Payments & End Customer Transactions

Payment processing (e.g. QRIS, cards, and e-wallets) is facilitated by third-party payment providers such as Midtrans. Use of those payment services is subject to the relevant provider's terms and policies.

  • We act as a software provider, not as a party to the transaction between you and your End Customers, and not as a financial institution.
  • You are fully responsible for transactions, prices, taxes, receipts, refunds, and disputes with your End Customers.
  • Settlement, processing fees, chargebacks, and payout schedules follow the payment provider's terms. We do not guarantee uninterrupted availability of those third-party services.

10Merchant Obligations & Responsibilities

  • ensure the accuracy of menus, prices, availability, allergens, and information shown to End Customers;
  • comply with all applicable regulations, including taxation (e.g. PB1/restaurant tax), labor, food safety, and consumer protection;
  • handle relationships with End Customers yourself, including order fulfilment, refunds, complaints, and reservations;
  • obtain the necessary consent from End Customers for the collection and processing of their data through the Service;
  • maintain the security of accounts and devices at your outlets, and provide adequate training to your Users.

11Your Content & Data

You retain all rights to Your Content. You grant us a limited, royalty-free license to store, process, display, back up, and transmit Your Content solely to provide and maintain the Service (including processing and storing images on our cloud infrastructure provider).

  • You represent and warrant that you have the rights to Your Content and that it does not violate any law or third-party rights.
  • You are responsible for the accuracy, quality, and legality of Your Content and how it was obtained.
  • We may remove Content that violates these Terms or applicable law.

12End Customer Data & Processing Role

For End Customer personal data processed through the Service (e.g. ordering, reservation, feedback, and membership/loyalty data), you act as the data controller and we as the data processor acting on your reasonable instructions.

  • You are responsible for the legal basis and consent for collecting End Customer data;
  • we process such data only to provide the Service and in accordance with the Privacy Policy;
  • you must not enter unnecessary sensitive data or data without a valid legal basis.

13Privacy & Personal Data Protection

The collection and use of data is explained in our Privacy Policy. We strive to process personal data in line with applicable regulations, including Indonesia's Personal Data Protection Law.

Data may be stored and processed on reliable cloud infrastructure. We apply reasonable technical and organizational safeguards, but no system is entirely risk-free.

14Intellectual Property Rights

The Service, including all software, interfaces, designs, trademarks, logos, and documentation, is owned by us or our licensors and is protected by intellectual property law. No rights are transferred to you other than the limited license in these Terms.

If you provide input or suggestions (“Feedback”), you grant us a royalty-free and unlimited right to use it to improve the Service, with no obligation to you.

15Device Apps, Offline Mode & Updates

  • Some apps (e.g. POS) can operate offline and sync data when the connection is restored. You understand that syncing depends on your device and network, and conflict resolution may occur for data changed while offline.
  • We may release updates, fixes, and changes from time to time. You are advised to always use the latest version for security and compatibility.
  • You are responsible for providing compatible devices, operating systems, and networks.

16Integrations & Third-Party Services

The Service may connect with third-party services (e.g. payment gateways, messaging/OTP providers, maps, or ordering channels). Use of those integrations is subject to each provider's terms. We are not responsible for the actions, availability, or policies of third parties, and integrations may change or be discontinued at any time.

17Service Availability, Maintenance & Support

We make reasonable efforts to keep the Service available, but do not guarantee uninterrupted or error-free operation. The Service may at times undergo scheduled maintenance or unexpected disruptions.

Support is provided through our official channels (e.g. in-app help tickets, email, or the Contact page) during applicable business hours.

18Data Backup, Export & Portability

We perform regular backups as part of operations, but you remain responsible for your data and are advised to keep your own copies. The Service may provide data export/backup features; export requests may be subject to verification and certain technical conditions.

19Suspension & Termination

  • You may cancel your subscription at any time via account settings or by contacting us; termination takes effect at the end of the current period.
  • We may suspend or terminate access in the event of a breach of Terms, payment arrears, security risk, or legal obligation.
  • After termination, the usage right ends. We may retain your data for a reasonable period so you can export it, then delete it per our retention policy and applicable law.

20Disclaimer of Warranties

The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, data accuracy, or non-infringement, to the extent permitted by applicable law.

21Limitation of Liability

To the extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, revenue, data, or goodwill, arising from the use or inability to use the Service.

Our total aggregate liability for any claim relating to the Service is limited to a maximum of the subscription fees you actually paid us in the twelve (12) months preceding the claim.

22Indemnification

You agree to defend, indemnify, and hold us, our affiliates, and our staff harmless from any claims, losses, and costs (including reasonable legal fees) arising from Your Content, your or your Users' use of the Service, transactions with End Customers, or your breach of these Terms or applicable law.

23Force Majeure

We are not liable for any delay or failure to perform caused by circumstances beyond our reasonable control, including natural disasters, power or network failures, third-party provider disruptions, government regulations, or other emergencies.

24Changes to the Service & Terms

We may update these Terms or change the Service from time to time. We will notify you of material changes through the Service, by email, or by posting the latest version on this page along with the update date. By continuing to use the Service after changes take effect, you are deemed to agree to the updated Terms.

25Governing Law & Dispute Resolution

These Terms are governed by and construed in accordance with the laws of the Republic of Indonesia. Any dispute that arises will first be sought to be resolved amicably. If not resolved, the dispute will be settled through the competent courts in Indonesia, unless otherwise agreed in writing by the parties.

26Miscellaneous

  • Assignment. You may not assign rights/obligations under these Terms without our consent; we may assign them to an affiliate or business successor.
  • Severability. If any provision is held invalid, the remaining provisions remain in full force.
  • Entire agreement. These Terms together with related policies constitute the entire agreement between you and us regarding the Service.
  • Waiver. Our failure to enforce a provision is not a waiver of rights.
  • Language. If a version in another language exists, the Indonesian version prevails in the event of an interpretation difference.
